What associations ask us before signing, and the answers we give in the room.

How much does HOA management cost?

Fees are quoted as a flat monthly amount based on unit count, amenity load, and the condition of the records we inherit. We do not bill a percentage of collections, because that gives a manager an incentive to let delinquencies grow. Your proposal lists the fee, everything included in it, and the short list of genuine pass-through costs such as bulk mailings and resale disclosure packages.

How long does it take to switch management companies?

Plan on six to eight weeks from signed agreement to full transition, plus whatever notice period your current contract requires — usually 30 to 90 days. Read that termination clause before doing anything else; a surprising number auto-renew if notice is missed by a week.

What happens to our records and bank accounts during a transition?

Association funds stay in accounts held in your association’s name and tax ID. We open new accounts as authorised signer, move balances once the board approves, and never commingle association money with our operating funds. Records transfer under a written checklist the board tracks alongside us — governing documents, financial history, vendor contracts, violation files, and architectural approvals.

Our books are a mess. Will you still take us on?

Yes, and it is common. Several communities came to us with years of unreconciled statements. Rebuilding the general ledger and producing an accurate opening balance sheet is the first thing we do. We will tell you up front if that work requires additional one-time hours so it is not a surprise.

Do you make decisions for the board?

No. The board governs; we administer. We inspect, document, notice, prepare packets, present options, and carry out what the board decides. Where we have an opinion — on a bid, a policy, or a legal exposure — we give it in writing, and the board is free to disagree.

Can we get out if it isn’t working?

Our agreements run one year with 60 days’ notice for either party, without cause or penalty. We hold an annual service review where the board grades our performance against the agreement. A management company that needs a long lock-in to keep clients is telling you something.

Do you take referral fees from vendors?

No. We accept no referral fees, rebates, or compensation of any kind from vendors, and we own no maintenance company. This is written into our management agreement so the board can enforce it.

How many communities will our manager be handling?

Six at most. It is a hard cap, and it is in the agreement. Each community also gets a named backup manager who has walked the property, so coverage does not collapse during vacations or turnover.

How do I pay my dues?

Through the homeowner portal by card or bank transfer, or by enrolling in autopay so assessments clear automatically. We also accept cheques by mail. Payments post to your ledger the same business day they are received.

I think my account balance is wrong. What do I do?

Contact us with your property address and what you believe the discrepancy is. We will pull your full ledger and walk through it with you. If we made an error, we correct it and reverse any late fee it caused.

Where do I find my community’s CC&Rs and bylaws?

In the document library in your homeowner portal, alongside rules, architectural guidelines, approved minutes, budgets, and insurance certificates. The Utah Community Association Act also entitles owners to inspect most association records on written request — we will supply them either way.

I want to make a change to my home. What do I need to do?

Submit an architectural (ACC) request before starting work — exterior paint, roofing, landscaping, walls, patios, solar, and additions typically require approval. Use the form in the portal or on our forms page. We acknowledge requests the day they arrive and track them against your committee’s review deadline.

I got a violation notice and I disagree with it.

You have the right to be heard. The notice explains how to request a hearing before the board and by when. Send us your written response and any photographs; we put it in front of the board with the inspection record. We administer the process — the board decides.

Something in a common area is broken. Who do I tell?

Submit a maintenance request through the portal with photos if you can, and you will be able to track the assigned vendor and status. For anything involving safety or active damage — water intrusion, gas odour, electrical hazard, gate failure — use your community’s 24/7 emergency number — listed in the portal and on notices posted in your community — instead of submitting a ticket.

Can I attend board meetings?

Yes. Utah law makes most board meetings open to members, and notice is posted in the portal and by email. Executive sessions covering legal advice, personnel, and individual owner matters are closed, but the board must state the reason for closing.

I’m selling my home. What do I need from the association?

Your title company or agent orders a resale disclosure package from us, which includes the governing documents, current financials, and a statement of your account. Utah caps what an association may charge for these; the fee appears on the settlement statement. Requests are typically fulfilled within five business days.
